Administrative & Development Coordinator

The Administrative & Development Assistant is the welcoming face and voice of Herzl Camp -
the first point of contact for families, donors, and community members. This role supports both
the Development and Administrative operations of the organization, ensuring smooth, accurate,
and timely handling of donations, camper accounts, communications, and office systems. The
ideal candidate brings warmth, professionalism, and a genuine commitment to exceptional
customer service, helping every interaction reflect the spirit and mission of Herzl Camp.
Key Responsibilities
Development & Donor Support

Maintain and update donor records in the CRM system with accuracy and confidentiality.
Process donations and acknowledgments promptly and with care.
Make tribute and thank-you calls to donors, conveying sincere appreciation.
Manage incoming calls and checks related to donations.
Provide administrative support for fundraising events and campaigns.
Camper & Family Administration

Maintain and update family and camper records in CampMinder.
Process tuition payments, invoices, and monthly billing.
Manage scholarship applications, communication, and coordination with internal and
external funding partners.
Prepare, assemble, and distribute camper luggage tags and other mailings.
Provide friendly and efficient customer service to families via phone, email, and in
person.
Operations & Office Administration

Answer incoming phone calls and emails, providing helpful, accurate information or
directing inquiries to the right team member.
Greet visitors with a warm and professional presence.
Handle all incoming and outgoing mail and deliveries.
Assist with the annual audit and general administrative projects.
Support daily office functions and other duties as assigned to ensure smooth operations.
Qualifications

Minimum of 2–3 years of administrative experience, ideally in a nonprofit or customer
service environment.
Strong organizational, communication, and interpersonal skills.
High attention to detail and ability to manage multiple priorities in a fast-paced setting.
Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar, Gmail), Microsoft
Office, and database systems.
Demonstrated discretion with confidential information.
Warm, welcoming, and professional demeanor — able to build positive relationships with
donors, families, and colleagues.
